Event t-shirts sound easy. But they’re not. Wrong sizes get delivered. Prints fade after one wash. Half the order shows up two days late. Colours look nothing like what was approved. Sound familiar? For most Indian events, the size distribution leans heavily towards M and L. XL follows close behind. S and XS combined? They often make up less than 10% of the total order. XXL and above depend entirely on your audience. For example, a corporate marathon crowd will need more large sizes than a college cultural fest.
So what’s the fix? Before you finalise quantities, do a quick headcount. Even a simple form asking participants to pick their t-shirt size helps a lot. One-day rallies or promotional giveaways: You can go lighter – 140–160 GSM – since these aren’t built for longevity. The goal is branding, not durability.
Getting the fabric wrong leads to uncomfortable attendees, poor print results, or t-shirts that shrink after the first wash. So choose wisely.
3. Finalising the Event T-Shirts Design Before Production Starts
This is where a lot of organisers lose days – sometimes weeks. The design keeps changing after production has already been discussed or partially started.

“We need it in three days”, – said every event organiser ever, usually with four weeks’ notice that somehow disappeared.
A realistic timeline for a bulk event t-shirts order looks like this:
